Company Settings

Manage general settings for your company

In company settings, you can manage the default language, currency, and allowed øre differences.

Regional Settings

Default Language

Here, you select the default language in which users are invited. You can always choose a different language for a specific invitation or user.

Time Zone

This determines the time zone in which timestamps are displayed.

Posting Rules

Allowed Difference

This rule controls the maximum allowed difference on an invoice when posting

Amount Field for Posting

Posting entries are not updated retroactively if you enable this setting after processing documents in BatchFlow. This means that some documents may appear to have a difference even though they have been exported.

Here, you can choose whether to post to the total amount or the net amount. If you choose to post to the net amount, the VAT rate is used to calculate the amount when exporting to ERP systems that require the amount after VAT.

Financial Settings

Default Currency

This currency is used in these two scenarios.

  • The currency used for amount limits. Amount limits are automatically converted from the default currency to the document’s currency if they are not the same.

  • Which currency is assigned to the document if no other currencies are specified on the document.

Approval Rules

Proxies inherit approval limits

If you disable this setting, you risk having an approval workflow where the document cannot be finally approved because no one in the workflow has the authority to approve the document.

This rule determines whether a substitute should have the amount limit of the person they are substituting for or whether they should use their own.

Auto-approve previously approved documents

Enable this rule to avoid unnecessary duplication of work if a user receives a document they have already approved.

Example:
An employee approves a document, after which the bookkeeper changes the approval flow. If the employee is also part of the new flow, they are automatically skipped since the approval has already been recorded.

The following exceptions apply to this rule:

  1. If a “blocking validation” prevents the document from being approved, it will not be automatically approved again. This can happen, for example, if key fields, account assignments, or validations have been changed since the user first approved the document.

  2. If it is resubmitted for approval and the previous approver of the document is the only approver in the new apflow, the user will be assigned that approval again.

Export

Export of Attachments

Here, you can specify whether an invoice should be marked as an error during export if it was not possible to export the document to the ERP system. This might happen, for example, if the file is too large for the ERP system to accept. Alternatively, you can choose to export it without attachments.

Export Timestamp Format

Controls how the timestamp on the exported document itself (the PDF or e-invoice) appears.

Payment Information

Use payment information from

This setting determines whether to use the payment information stored for your vendors in the ERP system or the information found on the invoice.

This setting affects the payment information posted during export and may override the payment information stored for the vendor.

This may increase the risk of fraud, and you must pay extra attention to the payment process

Vendor

When set to “Vendor,” only the reference in FIK payments is taken from the invoice. All other information, such as card type, bank, IBAN, etc., comes from the vendor in the ERP system. The system will still attempt to retrieve all payment information from the invoice so that we can validate whether the payment details are valid or if they differ from the information on file for the vendor. Which payment type the system chooses to display and validate against is determined by the creditor’s preferred payment method.

Document

When set to “Document,” the system will always use the information extracted from the document. The system can still validate whether the information matches the vendor’s records, but the information entered in the fields during export will be the data transferred to the ERP system.

You also have the option to set a priority order for your preferred payment methods. The system will automatically select the highest-priority payment type found on the document. You can still select a different payment type on the document afterward if necessary.

Payment Accounts

This setting allows you to select the bank accounts that should be available when you choose the payment type “Kun bogføring.”

This setup can be used to post documents where the funds have either already been debited or will be debited automatically—for example, for purchases made with a debit card or via PBS. When posting, a contra entry is automatically created for the vendor, as well as a contra entry for the selected account (typically a bank account).
