Posting Templates

Manage posting templates in your company

Posting templates can be used to create predefined postings that can be applied to documents with just a few clicks, instead of having to enter the same information manually. You can use the posting templates across vendors and set up calculations for the amounts.

Be sure to also check out automations, which can automatically trigger workflows, create journal entries based on line items, and much more.

Overview

The overview shows all existing posting templates, how many vendors they are linked to, and how many posting lines they contain.

Create Posting Template

Click on “Opret konteringsskabelon” in the top-right corner to create a new accounting template.

First, give the template a name and, optionally, a description. How detailed you make the names and descriptions is entirely up to you. Next, you can select an icon to make it even more recognizable. This is useful if, for example, you make several different types of purchases from the same supplier(s) and would like to have a template for each scenario.

Associated Vendors

If you associate vendors, they will automatically appear as favorites in the posting window for those vendors.

Note that it is still possible to select posting templates across all vendors, even if you have linked vendors or have not selected any linked vendors. Linking creditors simply means they are displayed with priority and are easier to find and select.

Dynamic Fields

When creating the actual journal entry for the posting template, you have access to all the same fields you normally use—such as account, dimensions, VAT, etc.—and you can create as many posting lines as necessary.

For amounts and posting text, which can often vary from vendor to vendor or from document to document, you can set them up as dynamic values. Of course, it’s also possible to enter static amounts if entries must always be posted with specific amounts—such as for lease agreements or phone bills that need to be allocated across multiple departments or employees.

After creating a dynamic field, you can always hover your mouse over it to see what it contains.

Functions

Instead of entering a static amount or leaving the amount at 0, you can choose to create a function by clicking “f(x)” in the amount field.

This opens a list of possible variables and operators.

Here are a few examples:

  1. The amount should always simply be the invoice amount; in this case, you just select the total amount.

  2. The amount must be divided equally between two posting lines; for example, divide the total amount by 2 on both lines so that they both end up with 50% of the amount. The remaining accounts and dimensions can be freely selected separately for each posting line.

Dynamic Text

Instead of entering static text, you can create dynamic text for each posting line by clicking “T” in the posting text field.

This opens the list of available variables. Remember that you can combine static text and variables.

A simple example is shown here, where the vendor name and invoice number are combined, separated by a hyphen.

Edit Posting Template

Note that changes to posting templates will not be applied retroactively. The changes will only apply to documents where you select the posting template for the first time after the correction or overwrite the existing posting by selecting the posting template again.

If you click on an account assignment template from the list, it will open the template, where you can edit the name, description, icon, associated vendors, and the account assignment itself.

Remember to click “Save Changes” after all edits have been made.

Edit a dynamic field

To edit an existing dynamic field, simply click “f(x)” or “T” on the desired line and make the desired changes.

Delete an accounting template

To delete an accounting template, simply click on it and then click “Slet skabelon.”

Save as a template from a document

If you have manually created an accounting entry on a document and would like to save it as an accounting template, you can also do so directly from the accounting window by clicking “Gem som skabelon.”

Save as New

By default, it opens at “Ny skabelon,” where you must give it a descriptive name, an optional description, an icon, and associated vendors. Of course, you can always edit it later from the account assignment template overview.

Overwrite

For example, if you’ve selected an account assignment template, made a few corrections, and then want to overwrite the old account assignment template with the new corrections, you can instead select “Overskriv eksisterende.”

Here, you must select which template you want to overwrite.

You can then also edit the name, description, icon, vendors, etc., before overwriting the account assignment with the new account assignment from the document.

Apply Posting Template to Document

To use an account assignment template, click “Gennemse skabeloner” in the account assignment window of a document.

By default, it starts with “Favorites,” which are all the posting templates where one of the associated vendors matches the document’s vendor.

A preview of each posting template will be displayed when you click on it.

If you want to use one of the other posting templates, click the filter button and then Alle.

This will display all posting templates, even if they are not associated with the vendor from the document.

It’s also possible to search for a specific posting template if, for example, you have many of them or know the name.

Once you’ve found the desired posting template, simply click “Anvend skabelon.”

Note that you can still edit the posting after it has been selected, if necessary.
